All information provided on our website and in our brochures is accurate to the best of our knowledge at the time of publication. However, C9trails reserves the right to update, modify, or change any part of the information, including tour itineraries, services, pricing, and accommodations, either before or after a booking has been confirmed. These changes may be due to operational requirements, weather conditions, supplier availability, or other unforeseen circumstances beyond our control. If any such changes are known inadvance, we will make every effort to inform the customer at the time of booking. Otherwise, any updates or modifications will be communicated by our tour manager or local representative during the tour.
C9trails functions as a travel and holiday organizer and does not own, operate, or control any airline, hotel, transportation provider, or other services included in the tour package.While we carefully select our partners and vendors, the company cannot accept responsibility for any deficiencies in the services provided by these independent contractors. This includes,but is not limited to, mechanical failures, delays, personal injury, loss of baggage, or any other harm or inconvenience caused to the customer due to the actions or omissions of these third parties.
A binding contract between the customer and C9trails is established only after the receipt of a specified initial deposit per person for each tour package. Customers are required to make full payment according to the timelines specified in the payment terms. Failure to comply may result in the cancellation of the booking by C9trails and forfeiture of the deposit. To confirm a booking, a 50% advance payment must be made to the company’s bank account through cheque, cash, or online transfer. The remaining balance is to be paid upon hotel check-in. Customers are advised to retain proof of payment for all transactions.
Clients wishing to amend or cancel their bookings for any reason, including but not limited to personal reasons such as health issues, unforeseen commitments, or change of travel plans, must notify C9trails in writing. Cancellation charges will be applicable as per the timeline below: Cancellations made more than 30 days before the tour will result in the forfeiture of the advance amount; cancellations made 30 to 15 days before departure will be charged 50% of the tour cost; cancellations made 14 to 7 days prior will incur a 75% charge; and any cancellations made within 6 days or on the day of departure will be subject to 100% of the total cost. There will be no refund for no-shows or partially completed tours.
C9trails shall not be held liable for any delays, changes, or cancellations of services caused by force majeure events such as natural disasters, acts of war, strikes, civil unrest, pandemics, or any governmental restrictions. In such cases, any additional expenses incurred as a result of these events, including extended stays, alternate travel arrangements, or emergency services, shall be borne entirely by the customer.
Customers travel at their own risk and are responsible for their own health and safety. C9trails shall not be held accountable for any illness, injury, accident, loss of property, or life occurring during the trip. Clients are advised to take necessary precautions and to carry any personal medication or health essentials required for the journey. Personal belongings are the sole responsibility of the customer throughout the tour, including during transport and at hotel accommodations.
While we strive to provide the accommodations listed in the itinerary, C9trails reserves the right to substitute hotels with similar properties if necessary. No refunds will be given for missed meals due to late arrivals, early departures, or client negligence. Special dietary requests are not guaranteed and are subject to availability. The standard meal plan includes pre-fixed menus for breakfast, lunch, or dinner as per the itinerary.
C9trails arranges transport based on group size and tour requirements using air-conditioned deluxe coaches, vans, or cars. Seat assignments are made on a first-come, first-served basis and will remain fixed throughout the journey. Passengers are advised not to leave valuable items unattended in vehicles. C9trails is not responsible for any loss or theft of personal belongings from transport vehicles. The vehicles operate under specific driving regulations, and any delays caused by clients may result in missed sightseeing or additional costs.
C9trails reserves the right to revise the itinerary for operational or logistical reasons. These changes may include altering the order of destinations, changing sightseeing spots, or substituting activities without prior notice. If a customer misses any part of the tour due to their own delay or non-compliance with the schedule, no refund or compensation will be provided for the missed portion.
Travel insurance is not included in the package cost offered by C9trails. It is strongly recommended that all clients obtain comprehensive travel insurance on their own, covering health, trip cancellation, baggage loss, and personal liability. Any claims related to insurance must be directly dealt with by the client and the insurance provider. C9trails does not provide support in claim settlements.
All disputes or legal issues arising out of or related to any services offered by C9trails shall fall under the exclusive jurisdiction of the courts located in Himachal Pradesh, India. The laws of India shall govern the terms and conditions and the relationship between the client and C9trails.Agreement By making a booking with C9trails, the client acknowledges that they have read, understood, and agreed to abide by these terms and conditions. These terms form the entire agreement between the company and the client, superseding any prior verbal or written communications regarding the travel services.
